Adventure Coach Ltd – Terms & Conditions

Effective from: January 1st, 2025

This agreement outlines the terms and conditions of services provided by The Adventure Coach. By enrolling in any of our adventures, coaching programs, or memberships, you agree to abide by the terms outlined below.

SECTION 1: GUIDED MOUNTAIN ADVENTURES

(Covers the National Three Peaks, Welsh Three Peaks, and all future paid guided adventures.)

1. Booking & Payment Terms

1.1. A place on any guided adventure is only secured upon full payment.
1.2. Partial or pending payments do not constitute confirmation.
1.3. Payment must be made via the method stated on the booking platform or invoice.
1.4. All pricing is stated in GBP (ÂŁ) and includes VAT where applicable.
1.5. It is the responsibility of the participant to provide correct contact information and confirm receipt of all event details.

2. Cancellation Policy

2.1. If you cancel more than 14 days before the scheduled start, you are eligible for a refund minus a ÂŁ50 cancellation fee (covers admin, permits, logistics).
2.2. If you cancel within 14 days of the adventure, no refund will be issued under any circumstance.
2.3. If Adventure Coach Ltd cancels due to extreme weather, low participation, safety concerns, or any force majeure event, you will be offered a full refund or free transfer to an alternative date.
2.4. Participants are advised to obtain personal cancellation insurance to cover costs in the event of illness, injury, or unexpected personal circumstances.

3. Participation Requirements

3.1. All participants must complete a health and safety declaration prior to the event.
3.2. You are expected to arrive in suitable physical condition, based on the difficulty rating of the challenge.
3.3. The Adventure Coach reserves the right to turn away anyone deemed unfit or improperly equipped, without refund.
3.4. No illegal substances or alcohol are to be consumed on the mountain or during challenge hours.
3.5. You must follow all instructions given by the guides. Ignoring guide instructions may result in your removal from the event.

4. Environmental Stewardship

4.1. Participants are expected to leave no trace.
4.2. All personal waste must be packed out.
4.3. In line with our partnership with Trash Free Trails, we promote a “leave a positive trace” ethic and may run voluntary trail clean-up efforts as part of the experience.

5. Guiding and Insurance

5.1. All events are guided by qualified professionals with Mountain Leader or higher certifications.
5.2. All guides are covered by Public Liability, Professional Indemnity, and Personal Accident insurance.
5.3. Participants are strongly encouraged to have their own travel and accident insurance to cover loss of earnings, injury, or cancellation.

6. Risk and Waiver of Liability

6.1. By participating, you acknowledge that mountain and outdoor environments are inherently high risk.
6.2. Risks include slips, trips, weather changes, falling rocks, exhaustion, altitude issues, and wildlife.
6.3. You participate at your own risk and agree not to hold Adventure Coach Ltd, its guides, or contractors liable for any injuries, losses, or damages unless due to proven negligence.
6.4. The Adventure Coach is not responsible for delays, missed transport connections, or external factors affecting your experience.

7. Equipment & Clothing

7.1. A detailed kit list is issued before each adventure.
7.2. Participants must bring all mandatory kit.
7.3. The Adventure Coach reserves the right to prevent you from participating if you are inadequately equipped, without refund.

SECTION 2: COACHING SERVICES

Part A: Ever Ready Adventure Membership

1. Subscription Terms

1.1. This is a rolling monthly subscription.
1.2. Payment is taken monthly via your original payment method unless cancelled.
1.3. You may cancel at any time via written notice (email or message).
1.4. Cancellation ends all access to resources, sessions, and content at the end of the billing cycle.

Part B: Adventure Readiness Challenge (12-Week Program)

1. Engagement Terms

1.1. Full participation is expected across 12 weeks.
1.2. This includes weekly tasks, feedback check-ins, and engagement in sessions and community platforms.
1.3. The service is non-transferable and must be completed by the registered client.

2. 30-Day Money Back Guarantee

2.1. If you feel the program is not right for you within the first 30 days, you may request a refund.
2.2. A refund will only be issued if:

  • You have attended all sessions and submitted all required feedback.

  • We have worked collaboratively to resolve any concerns first.

  • Your reason for leaving reflects that the program no longer serves your needs after full engagement.

Part C: 1:1 Bespoke Coaching Agreement

1. Scope of Service

1.1. Services include:

  • Individualised fitness, nutrition, and mindset plans

  • Private coaching sessions

  • Unlimited message support

  • Access to coaching platform and resources

2. Minimum Commitment

2.1. Coaching is offered on a 6-month minimum basis.
2.2. Early cancellation before 6 months may incur a termination fee equal to the remaining balance.
2.3. After 6 months, you may exit with 30 days’ notice in writing.

3. 30-Day Guarantee (New Clients)

3.1. New clients may request a refund in the first 30 days, provided:

  • You have attended sessions and completed feedback.

  • You’ve taken all agreed-upon actions.

  • We’ve tried to resolve concerns and determine next steps collaboratively.

4. Client Responsibilities

4.1. You agree to:

  • Attend scheduled sessions

  • Be honest and proactive in feedback

  • Participate in check-ins

  • Notify the coach of any injuries or issues affecting your training

  • Pay on time as per the invoice

5. Waiver of Liability

5.1. You accept full responsibility for participating in physical activity.
5.2. The Adventure Coach accepts no liability for injuries or illnesses arising from coaching unless due to proven negligence.

6. Confidentiality

6.1. All client data, communication, and health information is held confidentially.
6.2. No personal data will be shared outside of The Adventure Coach team without written consent, unless required by law.

7. Disputes & Governing Law

7.1. These terms are governed by UK law.
7.2. Any disputes are subject to the jurisdiction of UK courts.
